Scope and Content:
This series consists of a database used to log and track the progress of constituent correspondence received by the Office of the Governor from her inauguration in 2011 until March 2014. The original database was received in FileMaker Pro 7 (.fp7) format and was converted into Microsoft Access 2007 (.accdb) format. In addition to tracking incoming correspondence, the database was utilized by the Governor's staff for various purposes, such as analyzing support and/or opposition to specific legislation, reporting to the Governor on the number and nature of correspondence received, and metrics on staff responses. The database consists of one large table, which has been converted into OpenDocument spreadsheet (.ods), comma-separated value (.csv) text file, and eXtensible Markup Language (.xml) formats. The database lists correspondence in numerical order by the number assign to each item when it was received by the Constituent Services Division. Typical information available includes, but is not limited to: the constituent's name, the staff member assigned to the query, a summary of the query, whether the query is in support or opposition to specific legislation, and comments on the response from the Constituent Services Division. A Portable Document Format (.pdf) file his this series contains screenshots of all of the Mail Log forms used to enter data into the original FileMaker database.

Records in XML format are the preferred preservation method; column headers are retained and data fields are not truncated as they are in spreadsheets or tab-separated value text files. The MS Access 2007 file is the preferred method of accessing and viewing the entire database. As of April 2014, the Constituent Services Division (CSD) switched from using a database to IQ, a proprietary document management system produced by Lockheed-Martin.
